The 12-month wedding planning checklist

Milestones ordered by irreversibility: venue first, favors never. What actually has to happen, and when it stops being optional.

Every wedding checklist on the internet is 200 items long and treats "book the venue" and "choose cocktail napkin color" as equally urgent line items. That's not a plan; that's anxiety with checkboxes. A useful checklist is ordered by one thing: irreversibility. Book what can't be rebooked first, decide what's expensive to change next, and let the genuinely flexible stuff float to the end where it belongs.

The irreversibility principle

Ask of every task: if this goes wrong or gets delayed, how bad is the recovery? Venues book out 12–18 months and there is exactly one of your date. In-demand photographers go a year ahead. Rush invitation printing costs double. Favors can be assembled the week of, by cousins, while drinking. Sequence accordingly — the deadlines below are the "no drama" dates, with the true point-of-no-return noted where it differs.

12+ months out — the irreversibles

  • Set the budget number and who's contributing (the budget guide does the allocation).
  • Draft the guest list to within ±20 — it gates the venue size (guest list guide).
  • Book the venue and lock the date. Everything else in your wedding derives from this line.
  • Book the big-lead vendors: photographer, caterer (if not in-house), band or DJ, planner if using one.
  • If it's peak season in a destination town: reserve the hotel room block now too.

9–12 months out — the expensive-to-change

  • Book officiant, videographer, florist.
  • Buy the dress / order attire — gowns run 4–6 months of lead time plus 2 months of alterations. This is sneaky-irreversible.
  • Engagement photos (doubles as a trial run with your photographer).
  • Start the registry, launch the wedding website, and send save-the-dates at ~8–9 months (12 for destination).

6–9 months out — the load-bearing middle

  • Book transport, rentals, cake, hair & makeup.
  • Order invitations (printing + addressing takes 6–8 weeks end to end).
  • Book the honeymoon while flight prices are still humane.

3–6 months out — commitments become details

  • Finalize ceremony content: officiant meetings, readings, vows plan (ceremony script guide).
  • Attire fittings round one; buy rings.
  • Wedding party attire ordered; kids' roles assigned.
  • Rehearsal dinner planned; marriage license requirements checked (validity windows vary by state — some licenses expire in 60 days, some take a waiting period).

The 90-day gauntlet

This is where the checklist stops being a shopping list and becomes operations. The full system for this stretch is in the logistics handbook; the milestones:

  • 10–12 weeks: invitations out, RSVP deadline set at four weeks before the date.
  • 8 weeks: final attire fittings; day-of timeline drafted (timeline guide).
  • 6 weeks: vendor confirmations begin — arrival times, contacts, needs.
  • 4 weeks: RSVP deadline hits; chase stragglers for 1 week, then call it.
  • 3 weeks: seating chart draft one (seating guide); marriage license obtained.
  • 2 weeks: final counts + dietary summary to caterer and bar. This is a contractual deadline, not a suggestion.
  • 1 week: run of show to every vendor; seating chart frozen; payments and cash tips in labeled envelopes.
  • Day before: rehearsal, handoff of all documents to whoever runs the day. Which is not you.

Reading the checklist honestly

Three habits separate couples who use checklists from couples whom checklists use:

Watch the you-are-here line, not the totals. "34 of 61 done" means nothing if the 27 remaining include everything hard. What matters is whether anything behind today's date is still open. An overdue venue task and an overdue favors task are different emergencies — one of them isn't one.

Some tasks are optional; deadlines aren't. Skip favors entirely (guests will not notice, truly), skip the garter, skip programs. But a task you're keeping has a real date, and the date came from lead times, not vibes.

When you fall behind — and everyone does around month four — triage by irreversibility again. Catch up on the booked-out vendors and printed materials first; the decorative long tail will forgive you.
